Event Overview: In partnership with BOLDplanning, the West Virginia Primary Care Association (WVPCA) is providing 5 key training workshops to assist you in building a program around your emergency continuity plans. Each workshop will provide building blocks for a comprehensive approach to preparing for and responding to the mission of providing services after a disruption/event occurs.

  2. Risks and Hazard Vulnerability Assessment (HVA)  
  3. Training and Staff Awareness
  4. Exercising Your Plan
  5. Program Evaluation (After-Action Reports & Gap Analysis)
Goals and Objectives:

Workshop #1 - Planning Process and Procedures (Wednesday, August 16, 10 AM)
 
This workshop focuses on the grassroots planning process needed to kickstart the emergency preparedness planning process. It will include resources for enhanced coordination and collaboration within the healthcare network while working to improve resource allocation and utilization.
 
By the end of this workshop participants will be able to:
  • Conduct a thorough assessment of available emergency preparedness planning resources and capabilities;
  • Understand the CMS requirements for developing a comprehensive emergency response plan;
  • Establish the planning team, planning, writing, testing, and partnership goals;
  • Develop a well-defined roadmap for effective emergency preparedness that aligns with the organization's goals and objectives.
Workshop #2 - Risks and Hazard Vulnerability Assessment (HVA) (Wednesday, September 20, 10 AM)
 
This workshop focuses on assessing the needs and risks as part of your emergency preparedness planning process, helping to increase community resilience and confidence in the healthcare system.
 
By the end of this workshop participants will be able to:
  • Understand the Hazard Vulnerability Assessment (HVA) tool and resources;
  • Identify potential risks and hazards in different emergency scenarios across WV;
  • Assess the potential impact on WV individuals and communities;
  • Understand the CMS requirements for developing an HVA;
  • Identify essential functions for health care delivery;
  • Develop an HVA that aligns with the organization's goals and objectives.
Workshop #3 - Training and Staff Awareness (Wednesday, October 18, 10 AM)
 
This workshop focuses on training and staff awareness as part of your emergency preparedness planning process, helping educate to reduce response times and improve the decision-making capabilities of key staff.
 
By the end of this workshop participants will be able to:
  • Educate staff on the importance of emergency preparedness planning and familiarize them with the necessary CMS protocols and procedures;
  • Enhance staff understanding of emergency planning and drive their motivation for assisting in proactive measures in mitigating risks for their communities;
  • Explore the various ways in which staff will facilitate emergency preparedness exercises.
Workshop #4 - Exercising Your Plan (Wednesday, December 6, 10 AM)
 
This workshop focuses on the implementation of your emergency preparedness planning process, allowing for an opportunity to exercise your newly created plan.
 
By the end of this workshop participants will be able to:
  • Understand the purpose for testing the emergency response planning;
  • Familiarize the necessary CMS protocols and procedures;
  • Develop the skills required to effectively exercise with emergency response teams;
  • Assess what and when emergency preparedness exercises, through simulated scenarios, are required.
Workshop #5 - Program Evaluation (After-Action Reports & Gap Analysis) (Wednesday, January 17, 10 AM)  
 
This workshop focuses on the program evaluation component of the Emergency Preparedness Planning process. Addressing the value of after-action reports to identify the lessons learned and create a gap analysis for the future allows for an enhanced ability to adapt and respond to evolving threats and challenges.
 
By the end of this workshop participants will be able to:
  • Assess the effectiveness of the emergency preparedness exercise upon completion;
  • Identify areas for improvement, and develop strategies for future exercising;
  • Document lessons learned and best practices that can be shared with others in similar situations;
  • Evaluate the overall performance of the team or organization and make informed decisions based on the findings.
The information collected from the Preparedness survey and your participation throughout the webinar series will guide the workshop content.  All will learn how to provide an effective emergency preparedness program for your health center – no matter what level of expertise.

Target Audience: Health Center Emergency Management Personnel, Facility/Clinic Managers, and other applicable staff. 
      
This event is only open to Community Health Center Staff.
 
Cost: This webinar is being offered at no cost to Community Health Center Staff.
